You already pay for QuickBooks Online. The invoices still land in Gmail first: Stripe PDFs, AWS billing mail, a lunch receipt on someone's phone. Getting them into QuickBooks is usually one of two jobs: push a document into the Receipts tab with as little typing as possible, or build a capture habit so vendor mail stops dying in the inbox. QuickBooks has a built-in forwarding address for the first job, free and genuinely useful. But it has a ceiling. For the Xero equivalent, see how to email invoices to Xero. Deep field mapping and sync troubleshooting live in our separate QuickBooks Online integration guide.

How do you email invoices to QuickBooks?

  1. Create your @assist.intuit.com address in QuickBooks Online → Receipts → Forward from email.
  2. Forward PDF or image attachments there. Review in Receipts: match to the bank feed, or convert to a bill if you still owe the supplier.
  3. Add a capture tool when volume grows, when invoices sit in the email body with no PDF, or when you want extraction before anything hits the ledger. With TallyScan, forward to a dedicated address, extract with AI, land in Google Sheets / Drive / Notion first, then use QuickBooks sync (Beta) on Pro if you want bills in QBO.

Most small teams run both: official address for card receipts, capture tool for SaaS and supplier mail.

QuickBooks Online used as the ledger destination for emailed invoices and receipts.

Receipt vs bill: the QuickBooks quirk that trips people up

When you email a document to QuickBooks, it usually lands as a receipt: proof of a purchase you will match to a card or bank transaction. That is correct for coffee, Uber, and most card spend.

If the file is a supplier invoice you have not paid yet, open it in Receipts and choose Create bill so it appears in what you owe. Mixing those up is the number one "why is this in the wrong place" ticket.

You emailed… Treat it as Next action in QBO
Card or cash purchase already paid Receipt / expense Match to bank feed
Supplier invoice due later Bill Create bill, then pay when due
Mixed PDF pack Review each one Split mentally: paid vs unpaid

Three ways to get invoices into QuickBooks

Method Effort Best for Weak spot
Type it in High One-off bills Does not scale
Forward to @assist.intuit.com Low Card receipts with PDF/image attachments HTML bodies, portals, forgotten forwards
Capture tool → QBO (or Sheets first) Setup once Recurring vendor and SaaS email You still need portal downloads for non-email vendors

How to set up your QuickBooks forwarding address

Every QuickBooks Online user can create a custom address ending in @assist.intuit.com. Older companies may still see a legacy @qbodocs.com address; prefer the current Assist address.

  1. In QuickBooks Online, open All apps → Accounting → Receipts (wording can vary slightly by region).
  2. Choose Forward from email and create your customised @assist.intuit.com address.
  3. Forward receipts or bills as PDF or image attachments. You can send several in one email.
  4. Open the Receipts tab. QuickBooks pulls vendor, date, amount, and often the last four card digits when they are readable.
  5. In For review, match to a bank transaction, create an expense, or create a bill.

Attachment limits matter. QuickBooks expects attachments roughly between 46KB and 20MB. Tiny screenshots and giant multi-page scans can fail. Invoices pasted only into the email body are not read by this built-in flow.

Confirm steps against Intuit's current help docs when the UI moves; product labels change faster than blog posts.

Let your team forward too

Under Receipts, open Manage forwarding email and enable each user who should send. Everyone gets their own Assist address; everything lands in one Receipts queue. That is the right fix when receipts die on salespeople's phones.

The QuickBooks mobile app can also photograph a till receipt into the same Receipts tab. For on-the-road card spend, that is often faster than email.

Matching to the bank feed (why the built-in address is worth it)

The Assist address is not only capture. Because QuickBooks reads vendor, amount, date, and card digits, it can line the receipt up against the bank feed and attach the image to the transaction. That join (document + cleared charge) is the real win for card expenses.

Review Receipts weekly while the feed is fresh. A quarterly pile of unmatched receipts is how month-end turns into archaeology.

Where @assist.intuit.com stops

Use the official address. Then be honest about its ceiling.

Gap What happens
Invoice only in the HTML body Built-in forwarding skips it (attachment required)
Portal-only vendors (no email) Nothing to forward until you download the PDF
High volume of SaaS bills Manual forward becomes the new bottleneck
You need line items in a sheet first Receipts flow is ledger-centric, not Sheets-first
Personal + work in one Gmail You still decide what to forward; a second tool can add privacy boundaries

For a wider view of email capture options (full inbox vs dedicated address), see how to extract invoices from email automatically. Client-specific filters: Gmail and Outlook.

Privacy-first path: dedicated address → extract → QuickBooks

If the bottleneck is vendor email, not "I already have a PDF on my phone," add a capture layer in front of QuickBooks.

How TallyScan fits

  1. Copy your dedicated TallyScan forward address from the dashboard.
  2. Forward (or auto-filter) supplier and SaaS invoice mail to that address. No full-inbox OAuth.
  3. AI extracts vendor, dates, totals, and line items from attachments and supported email bodies.
  4. File somewhere useful immediately: Google Sheets, Notion, Google Drive, or OneDrive on Starter and higher.
  5. On Pro / Enterprise, connect QuickBooks Online sync (Beta) when you want extracted bills pushed toward QBO. Treat Beta as "test on a small batch before trusting month-end."

TallyScan syncing extracted invoices toward QuickBooks Online alongside Sheets and Drive.

You can keep @assist.intuit.com for card receipts and TallyScan for AWS / Stripe / landlord mail. They are complementary, not mutually exclusive.

Pro Tip: During Beta, run QBO sync on five known invoices, confirm vendor matching and bill vs expense behavior, then widen the filter. Do not flip every historical forward on day one.

Field-level mapping, duplicate vendors, and sync errors are covered in detail in integration with QuickBooks Online.

When to use which

Use QuickBooks' Assist address when you…

  • Mostly need card receipts matched to the bank feed
  • Already have a clean PDF or photo attachment
  • Want zero extra subscription for light volume

Add a capture tool (like TallyScan) when you…

  • Get many vendor invoices by email every month
  • Care about HTML / in-body SaaS receipts
  • Want Sheets or Drive copies for your bookkeeper before ledger posting
  • Prefer not to grant a tool full Gmail or Outlook access
  • Are ready to try QBO sync on Pro (Beta) after extraction looks right

Stay on Hubdoc / Dext-style tools when you…

  • Need practice-wide client collect or Xero-bundled flows (see our Hubdoc and Dext comparisons)

Frequently Asked Questions

How do I email invoices and receipts to QuickBooks?

In QuickBooks Online, open Receipts, set up Forward from email, and create an address ending in @assist.intuit.com. Forward PDF or image attachments to that address, then review them in the Receipts tab.

What is my QuickBooks receipt forwarding email address?

It is a custom address you create that ends in @assist.intuit.com (one per enabled user). Some older accounts still show @qbodocs.com. Manage it under Receipts → forwarding settings.

Does an emailed document become a receipt or a bill?

By default it behaves like a receipt for bank matching. If it is a supplier invoice you will pay later, convert it to a bill from the Receipts review screen.

Can QuickBooks match an emailed receipt to a bank transaction?

Yes, when vendor, amount, date, and card digits are clear enough. That match-plus-attachment flow is the main reason to use the built-in address for card spend.

Can my team forward receipts to QuickBooks?

Yes. Enable each user under Manage forwarding email. Each person forwards from their own Assist address into one shared Receipts queue.

What file types and sizes does QuickBooks accept by email?

PDF and image attachments in a mid-size window (commonly cited as about 46KB to 20MB). Body-only HTML receipts are not processed by the built-in forwarder.

How do I get Amazon or other portal invoices into QuickBooks?

Download the PDF from the portal, then forward it to @assist.intuit.com or to your capture tool. No email-only product can fetch a document that was never emailed.

Should I use TallyScan instead of @assist.intuit.com?

Not instead. Use Assist for simple card receipts. Use TallyScan when you want automated extraction from vendor email with a privacy-first forward address, Sheets/Drive hand-off, and optional QuickBooks sync (Beta).

Start with the free address, then automate the rest

Set up @assist.intuit.com today if you have not. Forward three real receipts and match them to the bank feed. That single exercise usually shows exactly which gap remains. If it is SaaS and HTML invoices that the built-in address keeps missing, create a free TallyScan account and forward one Stripe or AWS email to your dedicated address. Pricing is on the pricing page.
